PROGRAMME ASSISTANT

UNDP Tanzania invites application letters from qualified Tanzanians for the position of Programme Assistant for an HIV/AIDS Project in Prisons, which is supported by the United Nations Office for Drugs & Crimes (UNODC) in Nairobi. The incumbent will be based in Dar es Salaam, working under the direct supervision of the National Project Coordinator (NPC). The successful candidate will provide broad project support functions involving a set of inter-linked but distinct tasks of project assistance, administrative, meetings organization, and some secretarial support.

Specific duties and responsibilities:
• Assist in all administrative matters relating to the organization of meetings, training seminars, accommodation, workshops and conferences, including participants’ travel and administrative arrangements, negotiating and securing meeting venues and setting up of meetings.
• In accordance with the UN rules, procedures and standards, maintain the operational, financial and administrative records, including petty cash, for project monitoring and reporting purposes and work closely with other project staff in the country and at the Regional Office.
• Support the Regional Office in raising purchase orders, travel and other claims, and follow-up outstanding payments for the respective project office.
• Assist in the preparation of correspondence, reports and documents as requested and organize both incoming and outgoing correspondences.
• Arrange and maintain a calendar of appointments and prepare travel plans for missions by the National Project Coordinator. Perform other duties as will be assigned by the supervisor.

Academic qualifications, experience and skills:
• High School (Secondary) certificate plus a Diploma in Business, Public Administration, or any other related fields. An Advanced Diploma will be of added advantage. A minimum of 5 years progressive experience including at least 3 years in the field of administrative services, finance and accounting.
• Good interpersonal skills, ability to work in a multi-cultural and multi-ethnic environment with sensitivity and respect for diversity, excellent command of spoken and written English and Kiswahili, excellent drafting skills for routine correspondence, proficiency in Excel, Word, PowerPoint in a LAN environment, knowledge of various administrative procedures of the United Nations System desirable.
• Substantive experience in administrative functions (e.g. administrative and project budget preparation), familiarity with relationship between business objectives and operations, sound organizational skills, ability to prioritize work and to work independently or with minimum supervision, ability to deliver assignments in a timely manner, initiative and willingness to learn new skills.

Type of Contract: Service Contract Duration: One year initially. Salary Level: SB 3
